Preparing a concept paper for your sponsors is very important because it helps them check and evaluate your project of whether or not it is suitable for them. It is also a great opportunity for you to attract the sponsors for providing your requested funds. The most important thing to do when making this paper is to consider the guidelines given by your sponsors. The rest of the process should be outlining and writing the paper.
Introducing the Project
From the beginning of your paper, you should be able to make the sponsors interested otherwise they won’t read the rest of the paragraphs. Introducing your project should be the first thing to do since it allows you to show the sponsors how suitable the project and the goals of the funders. State your understanding of their goals and the kinds of programs or projects they can fund.
If you have some funders who will be supporting you, then you can mention them to make your project more valuable. Before ending up this section, tell the sponsors about the problems that should be addressed related to the project.
Explaining the Purpose
Why you want your project to be funded? What makes your project important? Tell the sponsors about that. Tell them the necessity for addressing the issues of why the project is created. This should be more than just an explanation because they need more reliable proofs. Any data or sources that are valid and valuable can be used if any. This will support your explanation even more.
It is better that your project had been made in the past and had been proved in providing some benefits according to some people or organizations that had realized them before. The purpose of this section is to convince the sponsors that addressing some problems by making this program is needed.
Describing the Project
After explaining the purpose of the program, now describe what the program is, what your plan is and what approach is going to use. This part should also consist of some benefits that can be provided by your projects.
Outlining the Objectives and Goals
Tell your sponsors about the goals of the project and accomplishments expected to be achieved from the project if the goals can be reached. To reach the goals, you need to do some activities and the sponsors need to know about them, so include the activities in this part. The objectives, which are the outcomes of the project that later can be measured, need to be informed too.
Providing the Timeline
All of your goals and objectives need actions to be realized. So this timeline will provide more information for the clients about how the goals will be achieved. This will answer a question from the sponsor of how you will run the project.
Showing the Benefits
This is an interesting part since the sponsors can learn what benefits or outcomes that can be produced and how they can be useful for certain fields or society. The people that will get the benefits can be mentioned as they will be your target groups.
Requesting the Costs
If you are requesting costs, then tell the sponsors how much you need, but if you need another type of support then state what is it that you want the sponsors to provide. This part doesn’t have to detail since you are just sending a concept proposal.
Providing Contact Information
Don’t forget to include your contact information to let the sponsors discuss this later if they are interested.
A concept paper is commonly short, so don’t waste the limited space to include unnecessary things that the sponsors don’t need to know. Leave the jargon unless you are sending the paper for sponsors that come from the same field with your organizations. Make it simple, easy to understand and clear. Let the sponsors understand everything that you state in the paper without processing the words too much.
